For Filr settings to take precedence over GroupWise settings of Filr in the GroupWise client, the Filr system must have licensing rights, and the Filr Administrator must enable GroupWise Settings in Filr’s Office and Mail Settings. Since several of the settings overlap, whether using GroupWise or Filr controls, and because options and behavior will vary based on administrator implementation, descriptions for all of these are included below.
Filr integration can control enforcement behavior for all attachments or be based on file size. This is designed to keep the GroupWise database unencumbered from attachment storage volume.
With GroupWise controls, attachments from the local drive that are uploaded to Filr are stored in the GW Attachments folder by default.
With Filr controls, attachments from the local drive that are uploaded to Filr are not stored in the GW Attachments folder, but are stored in a Filr folder only visible to the Filr Administrator.
If enforced Filr storage is configured, it will either be for “all attachments” or for attachments that exceed an administrator specified size and you will be notified of the pending Filr storage and enforcement.
If GroupWise Settings are enabled in Filr, you will either be able to choose one of the options below, or one of them will already be set in the Filr settings.
Link expires in: When attaching with this option, you might be able choose how long the link to the file remains active.
Download (limit): When attaching with this option, you might be able choose how many times the file can be downloaded from Filr.
The download limit is set for the number of recipients who access the attachment. Once that limit is met, no other users will be able to access that attachment.
When attaching a local file, you access these options by right-clicking the file after attaching it to the GroupWise Mail item.
When attaching from Filr, these options are presented at the bottom of the attach dialog box.
If GroupWise Settings are not enabled in Filr, but Filr Integration is enabled in GroupWise, you may see some or all of the options below, depending on administrator implementation.
When attaching a local file, you access these options by right-clicking the file after attaching it to the Mail item.
Upload to OpenText Filr: Right-click only option when attaching using the local file option, Add Attachment. After you select this option, if you right-click the attachment again, you can see the access behavior options below.
Mouse-over the expansion arrow > of the three options to see which default criteria is checked. This lets you know which behavior Mail recipients will get when clicking the attachment.
At this point, you can use the default for each Filr option or change the criteria, as required.
Sharing OpenText Filr Rights: The default is View. Recipients will only be able to view the attachment, not download or edit it. Change it to Edit if you want recipients to have Filr download and editing rights to the item or items in the attachment.
OpenText Filr external share mode: The default is File link. This option gives recipients of the Mail item access to the attachment in Filr. Recipient permissions for the attachment follow the Filr rights granted from the option above. If you change it to External share, then those same access permissions are also granted to anyone that is given a link to the file after the initial attachment is received.
Link expires in: When attaching with this option, you can choose how long the link to the file remains active. The default is Never, as in, it never expires. If you change it, the expiration is configurable by the number of days.
